Assist the Human Resource Manager at the Orthman location with executing the department responsibilities such as employee compensation, recruitment, personnel policies, and regulatory compliance.
Responsibilities:
- Provide clerical and administrative support to the HR manager
- Uses alphabetical and numerical systems to organize paper and electronic records documents.
- Checks paperwork, digital forms, and files, updating or correcting documentation as needed.
- Updates filing systems and devises new filing and organizational and storage systems for data and documents as needed.
- Creates new files and provides needed information on forms and reports.
- Secures and protects the privacy of documents.
- Scans paper documents and verifies that scanned documents are clear and legible.
- Processes requests for files and data.
- Prepare or maintain employment records related to events such as hiring, termination, leaves, transfers, or promotions, using human resources management system software.
- Review employment applications and job orders to match applicants with job requirements.
- Schedule or conduct new employee orientations.
- Select qualified job applicants or refer them to managers, making hiring recommendations when appropriate.
- Address employee relations issues, such as harassment allegations, work complaints, or other employee concerns.
- Conduct exit interviews and ensure that necessary employment termination paperwork is completed.
- Conduct reference or background checks on job applicants.
- Contact job applicants to inform them of the status of their applications.
- Develop or implement recruiting strategies to meet current or anticipated staffing needs.
- Hire employees and process hiring-related paperwork.
- Inform job applicants of details such as duties and responsibilities, compensation, benefits, schedules, working conditions, or promotion opportunities.
- Interpret and explain human resources policies, procedures, laws, standards, or regulations.
- Interview job applicants to obtain information on work history, training, education, or job skills.
- Maintain and update human resources documents, such as organizational charts, employee handbooks or directories, or performance evaluation forms.
- Perform searches for qualified job candidates, using sources such as computer databases, networking, Internet recruiting resources, media advertisements, job fairs, recruiting firms, or employee referrals.
Qualifications:
- Associate’s degree in related field and prior experience in Human Resource area
- Knowledge of current Federal and State legislative regulations and developments, and proficient in the use of available resources necessary to ensure ongoing company compliance.
- Preference for professional organization participation and certifications.
- Bilingual in Spanish
- Ability to read, write and communicate clearly in English.
- Effective communication and organization skills.
- Mature handling of confidential and sensitive information.
